Requests Manager

Workstation:  circ office.  (phone and computer) (Should be ok to suspend this during a lunch break) 

  1. Clear the Hold Shelf. 

  2. Check phone messages for holds requests.  Write down the requests in the Requests Notebook.  [Record the date, time of the call, Name of person, phone number, titles of requests, other notes.]

  3. Check the rochesterlibrary.togo@gmail.com email for requests.  Record the same information in the Requests Notebook.

  4. Print pull slips. Record the same information in the Requests Notebook.

  5. Prioritize requests by time requested.

  6. Place holds for items in patrons’ records.  Print the holds requested list, highlight available items, place in Ready for PPW Box on Ready for PPW cart

  7. Send Holds Notification email.  Place Items on the Ready for PPW cart for PPW to wrap and checkout.

  8. Put all holds needing notification by calling (they do not have email), on the Ready for PPW cart for PPW to wrap and checkout.

  9. Throughout the day, check the Gmail account for more requests, print pull slips, and accept phone call requests transferred from the Phone Manager.

Karyl’s phone (when Karyl is here)-mcirc 3 phone (when Karyl isn’t here), Karyl’s lunch break should coordinate with Appointment Manager break, so mcirc 2 phone will not be in use while mcirc 3 phone is in use)

  1.  Answer all phone calls. 

  2. Transfer calls for requests to Request Manager

  3. Transfer calls for appointment to Appointment Manager

Station at mcirc2 computer and phone:

 

 

  1. When PPW brings a bag of collected items to the desk, help them do a self-checkout, printing two checkout receipts when finished.  One receipt goes with the PPW into the patron’s bag, the other goes in the Ready for Appointment Box on the Ready for Appointment Cart at mcirc 2. 

  2. The Appointment Manager pulls a list of items checked-out to a patron from the Ready for Appointment Box and calls the patron, makes an appointment for a pick-up time.

  3. Record on Daily Appointment Sheet the Name of Patron, phone number, time called, time scheduled for pick up

  4. ALSO Record the appointment day and time on the paper list of the items checked-out and place it in Appointment Has Been Made Box on the PPW’s Ready for Appointment cart.

  1.  Take a shopping basket.

  2. For Items with printed hold slips:

  3. A.) Take an item, if there is one, from the .

  4.  B.) Take it to the Appointment Manager at mcic2 who will help you to “self-check-out” the item. 

  5. C.) Collect the check-out printout and bag it with the items.

  6. D.)  Label the bag with a sharpie using the first 3 letters of the patron’s last name and the first letter of the patron’s first name.  Leave on the Ready for Appointment Cart

  7. E.) Pick a new item to wrap or go to step 3 or go to step 4.

 

 

3.    For lists of requested items:

 

                       A.) Take a patron’s list of holds from the Ready for PPW Box on the Ready for PPW Cart.

B.) Find the highlighted items.  When all items have been found, go to the Appointment                      Manager at mcirc2 who will help you “self-check-out” the items.  

C.) Collect the check-out printout and bag it with the items.

D.) Label bag with a sharpie using the first 3 letters of the patron’s last name and the first letter of the patron’s first name.  Leave on the Ready for Appointment Cart.

 

  1. A.)  Check the Appointment Has Been Made Box on the Ready for Appointment Cart and if available, pull a slip for an appointment that has been made. 

B.) Find the bag for that patron and write the date and time of the appointment on the bag.C.) Place on the .
